How to create email campaigns


Email campaigns help you communicate with exactly the right attendees at the right moment. Rather than sending one message to everyone, NOVOTIX lets you create a targeted audience directly from the attendee list.

You can filter attendees by registration details, contact information, custom attributes, and event activity. Once the right audience is visible, you can create a campaign directly from that selection and use one of your existing email templates.

This makes Corporate Event communication precise, flexible, and easy to manage—from registration reminders and practical event information to follow-up messages after the event.

Start from the attendee list

Open the relevant Corporate Event and navigate to:

Events → [Event] → Attendees

The attendee overview contains all registrations for the event. From here, you can select attendees manually or use filters to create a specific audience.

Once your audience is ready, click Send email to start creating a campaign for the selected or filtered attendees.

Creating a targeted audience with filters

Click Filters in the attendee overview to open the filter builder.

The filter builder gives you control over who should receive the campaign. You can choose whether a filter should Include or Exclude attendees, select the field to filter by, choose a condition, and enter the value to search for.

Custom attributes configured for the event can also be used as filters. For example, this may include Job title, HubSpot ID, or other event-specific information.

Choosing a filter condition

NOVOTIX offers several conditions to help you build the right audience:

For example, you could create a campaign for attendees with the type VIP, people working for a specific company, guests who have not checked in, or attendees whose job title has not yet been provided.

Use Add filter to include additional criteria. Use Replace filters when you want to replace the active filter set with a new one. If your team frequently uses the same audience criteria, you can also select a saved Favourite filter.

Click Apply to update the attendee overview with the filtered audience.

Selecting attendees manually

In addition to filters, you can select individual attendees directly in the overview using the checkboxes next to their names.

This is useful when you need to contact a small, specific group that does not require a reusable filter—for example, a number of speakers, guests, or stakeholders.

You can also combine the attendee overview with visible columns such as name, email, company, country, language, attendee type, job title, check-in status, and registration status to review the audience before sending a campaign.

Starting the campaign

Once your audience is correct, click Send email.

The campaign window clearly displays the audience that will receive the email. Always review this before continuing, especially when working with a large or filtered attendee list.

Enter a clear Campaign name. This name is internal and helps your team recognise the campaign later. Examples include:

Next, select the Email template that should be used for the campaign. Templates allow you to reuse approved and on-brand content without rebuilding each message from scratch.

Creating a draft campaign

By default, NOVOTIX creates the campaign as a draft.

Click Create draft to save the campaign without sending any emails. The draft then appears on the event’s Campaigns page, where it can be reviewed, adjusted, and activated when you are ready.

Creating a draft is the recommended approach for important communications because it gives you time to verify the audience, template, scheduling, and duplicate settings before anything is sent.

Sending emails directly

The campaign window also includes Directly send email(s).

When this option is enabled, NOVOTIX sends the email immediately to the current audience. No campaign draft is created for review or activation, and the communication does not appear on the Campaigns page.

Use direct sending only when the audience, template, and timing have been checked carefully and an immediate message is required.

Handling duplicate email addresses

Enable Send a separate email to each attendee when multiple attendees may share the same email address.

This is useful when one person registers several colleagues using one contact email address. When enabled, NOVOTIX sends a separate email for every matching attendee registration.

Leave this option disabled when each email address should receive only one copy of the campaign.

Reviewing campaign settings

Open a draft from the Campaigns page to review its settings before activation.

The campaign overview also provides a Simulate recipients option. Use this to preview the expected audience before activating the campaign. It is a helpful final check when filters, attendee types, or duplicate-address rules are involved.

Campaign safety window and cancellation

NOVOTIX includes a built-in 10-minute safety window for direct campaign sends.

When you click Start campaign for a direct send, the campaign does not send immediately. Instead, a 10-minute countdown starts. This gives you time to perform one final check and cancel the campaign if you notice an incorrect audience, template, subject line, or timing.

You can cancel the campaign at any point during this countdown:

The safety window applies to direct sends. For scheduled campaigns, it applies only when the scheduled start time is within 10 minutes of the current time. If the campaign is scheduled further in the future, it remains scheduled and can be reviewed or adjusted before its planned start time.

Once the 10-minute safety window has ended, NOVOTIX begins sending the campaign to the selected audience.

Monitoring delivery and engagement

After a campaign has been sent, NOVOTIX provides a delivery overview so you can monitor its progress.

This makes it easier to investigate a specific attendee’s email status or confirm whether an important message was delivered.

Managing unsubscribes

Every campaign includes an overview of attendees who have unsubscribed from that specific campaign.

The event’s main Campaigns page also contains an unsubscribe list for all campaign-email unsubscribes within the event. This helps your team respect communication preferences and maintain a clean, trustworthy attendee communication process.

Archiving or deleting campaigns

From the Campaigns overview, campaigns can be archived when they are no longer actively needed. Archived campaigns remain available for reference without cluttering the active campaign list.

A campaign can also be deleted when it was created by mistake or is no longer relevant. Only delete a campaign when you are certain it is not needed for reporting, audit history, or future reference.
