Onboarding an organization on the Novotix platform is a mandatory and essential process. This process is designed to comply with applicable PSD2 regulations and AML legislation (Wwft – Anti-Money Laundering and Counter-Terrorist Financing). These regulations require us to clearly identify our customers and ensure that financial flows are transparent and traceable.
By completing the onboarding process correctly and fully, we jointly ensure a secure, reliable, and compliant platform for all organizers and end users.
During onboarding, Novotix performs several legally required checks, including:
Verification that the provided bank account number belongs to the specified company or individual;
Verification that the company is officially registered in a recognized business registry in the relevant country;
Verification of the identity of the company owner(s) or responsible individual, based on a valid identification document.
Without these checks, we are legally not allowed to process payments or execute payouts.
Once logged in to the Novotix dashboard, you can access the onboarding page in two ways:
Via the main menu on the left-hand side by clicking Onboarding at the bottom;
Via the main menu by navigating to Settings > Account > Onboarding.
On the onboarding page, the following information must be provided:
Company details
Address details
Email addresses (for general communication, invoices, and notifications)
Phone numbers
Company website
VAT number
Business registration number (e.g. Chamber of Commerce)
Bank details
KYC & Onboarding documents
This information forms the basis for the required compliance checks.
The provided bank account must be supported by a bank statement. This document must clearly display the following information, which must match the data entered in the onboarding form:
Company name
Company address
IBAN number
The bank statement is used to verify that payouts are made to the correct bank account.
When starting the onboarding process, at least the following documents must be uploaded:
Bank statement
Merchant agreement (can be downloaded via the upload row in the dashboard)
Company proof of registration: a document proving that the company legally exists and is registered in an official business registry
Identification document of the company owner or responsible individual
KYC documentation is considered living documentation. This means that additional documents may be requested in certain cases, such as:
UBO extract from the business registry
A completed UBO form (available for download via the upload row)
Additional identification documents of other company owners (UBOs)
Proof of address, such as a rental agreement or utility bill
Documentation of the company structure, for example in the case of a holding or parent company structure
On the same onboarding page, you can also configure the payout schedule. This determines when ticket revenues generated on the platform will be paid out.
Available options are:
Daily (default)
Weekly
Monthly
After the event
The payout schedule can be changed at any time. Please note that transactions created before a change will always follow the previous payout schedule.
The typical processing time is approximately 4 hours, provided that all required data and documents are submitted correctly.
In exceptional cases, this may take up to 24 hours.
Important notes:
As soon as onboarding is started, the organizer can immediately create events and start selling tickets.
Onboarding started means that all form fields have been completed, with the exception of the documents.
This specifically applies to the Organization details and Bank details sections.
Payouts are only executed once the onboarding process has been fully completed and approved.
The onboarding process is a legal requirement and a critical step to ensure secure and compliant payment processing. By providing all required information and documentation accurately and completely, you help ensure a fast review process and avoid delays in payouts.
